Cancellation policies and refunds for simulator bookings
Golf O'Clock enforces your cancellation policy for you: customers can cancel online until your notice period starts and are refunded automatically, and after that the online cancel option closes. A clear policy protects your prime-time slots without creating extra work at the desk.

How it works for customers
Customers can cancel their own booking online, as long as it's outside your notice period. When they do, their payment is refunded and any membership hours or credits they used go back to their account automatically. Inside the notice period, the online cancel option is closed and they'll need to contact you.
Setting your policy
- Choose your notice period, for example 24 hours before the start time.
- Use different rules for different situations, such as a longer notice period for weekend evenings or large groups.
- Combine it with a deposit or full payment for the slots where late cancellations hurt most.
Across 200+ venues on Golf O'Clock, Friday, Saturday and Sunday are the busiest days, so that's where a longer notice period earns its keep. For the wider picture on no-show policies, see common booking setup mistakes.
When staff cancel
Staff can cancel any booking at any time. Refunds go back automatically, and the customer is notified. If you'd rather keep the booking but take it off the calendar for now, you can park it instead.
Common questions
- Can I charge a fee for late cancellations?
- Inside your notice period, customers can't cancel online, so a deposit or prepayment protects you. Staff can also charge a fee by hand when needed.
- Do refunds go back to the card?
- Yes, card payments are refunded to the card, and hours or credits go back to the customer's balance.
- Can I give members more flexible cancellation?
- Yes. Notice periods can differ by customer group.
