Golf O'Clock has two team roles, staff and manager, so the front desk can run the day while pricing and setup stay with the people responsible for them. Not everyone on your team needs to change prices.

## The roles

- **Staff** run the day: [take and edit bookings](https://golfoclock.com/help/taking-phone-and-walk-in-bookings), [check customers in](https://golfoclock.com/help/checking-in-customers), manage customer profiles and notes, and handle payments and refunds at the desk.
- **Managers** do everything staff can, plus set up the venue: pricing, booking options, products, memberships, promotions, automations, integrations and settings. Managers also give roles to others.

Customers have no role. They see only the booking page and their own account.

## Adding a team member

1. Ask them to sign in once on your booking page with their own email or phone. That creates their profile.
2. As a manager, find them under Customers and give them the staff or manager role.

The change applies immediately. To remove access when someone leaves, take the role off. They keep their customer history and simply become a customer again. For a tour of the management screen your team will use, see [getting started with Golf O'Clock](https://golfoclock.com/help/getting-started-golf-oclock).

Roles also carry over to the [AI assistant](https://golfoclock.com/features/ai-assistant), which works within the signed-in person's own permissions.

## Common questions

**Can front-desk staff issue refunds?**
Yes. [Refunds](https://golfoclock.com/help/refunds) are a staff-level action, so the desk doesn't need to call a manager.

**Do I need to set passwords for new staff?**
No. They sign in with a code sent to their own email or phone, or with Google.

**Is a member the same as a staff member?**
No. Membership affects prices and booking access. Roles affect what someone can do in the management screen.
